Position summary:

 

The Receptionist is a key player in the Operations team and acts as the “face” of the company. They are responsible for welcoming, meeting and greeting visitors (candidates, clients, suppliers, etc.), providing guidance and ensuring they have everything they need during their time spent in TransPerfect premises. The position also involves supporting a broad variety of other essential business operations on a daily basis and working with internal colleagues and external providers.

 

Position responsibilities:

  •  Fulfill the responsibilities of the Receptionist: greet visitors, ensure compliance with visitor/guest sign-in, accompany visitors (when needed) to their point of contact

  • Accompany external providers & maintenance technicians to the corresponding area of the office where their services have been contracted for work when the person in charge is absent

  • Notify employees in the event of special deliveries and act as a back-up mailroom clerk, sorting and managing post daily, including courier pick-ups, deliveries, and overnight services, as well as providing assistance with shipping

  • Coordinate and maintain office space, security badges, and office keys

  • Maintain the Reception area neat and clean at all times

  • Stock control such as ordering office supplies from our vendors, verifying quantities upon arrival, monitoring stock levels

  • Respond to employee requests, redirecting certain queries to the corresponding team when needed

  • Review and assist with operations-related invoices for all TransPerfect offices

  • Provide administrative assistance to Accounting (filing Reports, processing and coordinating monthly credit card reports, including reconciliation, error resolution and their timely submission to Accounting team members)

  • Review and assist with operations-related invoices for all TransPerfect offices

  • Scan, photocopy, and provide additional administrative support

  • Run off-site errands when needed

  • Act as backup support for maintenance control when needed

  • Assist with employee relocation and setup for new hires as needed, including arranging office space and moving furniture and equipment

  • Perform other special projects or duties when required

  • Complete all other tasks that are deemed appropriate for this role and assigned by the manager/supervisor

Job requirements

Essential skills and experience required:

  • Bachelor´s degree or its equivalent

  • Excellent verbal and written English and Spanish communication skills

  • Reliable and punctual

  • Ability to work within a team

  • Proactive with a can-do attitude

  • Excellent attention to detail and problem-solving skills

  • Friendly while maintaining professionalism in all situations

  • Organized and able to work under pressure

  • Proficiency with Microsoft packages (Word, Excel, Outlook, etc.)

  • At least 1 year of experience working in a similar position in a corporate environment
