The position of Onboarding Coordinator is an exciting opportunity to provide support with the onboarding of hires within TransPerfect, across the U.S and Canada.

The Onboarding Coordinator will manage a high volume of onboarding, and ensure full compliance with all onboarding requirements across different locations within the U.S and Canada. The role will be a point of contact between hires, recruiters, the HR team, and payroll to ensure a seamless onboarding and payroll experience. The Onboarding Coordinator will often interact with a wide range of internal stakeholders across the organization.

POSITION RESPONSIBILITIES:

  • Handling a high volume of onboarding for project-based employees

  • Processing the setup of hire profiles within the HRIS system

  • Requesting necessary documents / paperwork to be completed by new hires and ensuring paperwork is accurate, and filed correctly

  • Independently owning the onboarding process and making sure that all the steps are completed on time for payroll submissions

  • Coordinating with both hires and managers regarding preparations for the beginning of projects

  • Responding to queries from hires relating to topics such as onboarding, timecards, company policies, etc.

  • Respond to unemployment claims and prepare employee verification requests

  • Reviewing employee timecards, and making any necessary adjustments

  • Understanding and communicating paid sick leave policies per employee locations, and processing requests when necessary

  • Assisting with the preparation of reports for payroll processing, including new hire reports, termination reports, and hours reports

  • Processing regular offboardings of project-based employees

  • Handling a significant volume of queries via email, telephone, and messaging tools with ease, and providing general administrative / HR related support

  • Communicating and directing employees and managers to appropriate Human Resources personnel to handle specific questions or employee issues

  • Performing other special projects or duties when required

Job requirements

QUALIFICATIONS, SKILLS & EXPERIENCES:

  • Some administrative experience; preferably within an HR / recruitment oriented function

  • High level of accuracy in all tasks

  • Ability to manage multiple tasks concurrently, prioritize and work with tight deadlines

  • Ability to work independently and to collaborate with teams based globally

  • Flexibility and willingness to adapt to a fast-paced, changing environment, with the ability to pivot and prioritize tasks

  • Strong oral and written communication skills

  • Fluency in English

  • Proficient in MS Office

  • Ideally some prior experience with HRIS tools
