Overview

The Benefits team manages leaves of absence, disability, and time off programs, with a strong focus on compliance, employee experience, and scalability. We are seeking a dedicated and detail-oriented FMLA Administrator to join our Benefits team. This role will initially be responsible for managing leave and accommodation programs for the U.S., Canada and Puerto Rico. As part of the North America Benefits team, the FMLA Administrator will help deliver top-tier benefits to employees. The team provides expert support, representing the company’s benefit programs, including plan options, policy features, and enrollment assistance. Additionally, the role will focus on managing specific benefit plans, ensuring compliance, and maintaining strong partnerships with third-party vendor.

Description

  • Manage FMLA and leave administration in a multi-state environment, in compliance with IRS and ERISA regulations, and manage workers’ compensation.

  • Administer leave with relevant laws, including FMLA, ADA, state-specific leave laws, workers’ compensation, and other state and federal regulations.

  • Serve as the primary point of contact for employees and managers regarding FMLA inquiries, policies, and procedures.

  • Communicate leave status to employees and managers, including approvals, denials, or requests for additional information.

  • Manage benefit plans and foster relationships with third-party vendors.

  • Provide timely and accurate FMLA updates to employees, managers, and supervisors.

  • Coordinate with Payroll to ensure accurate processing of leave deductions, benefits continuation, and pay during FMLA leave.

  • Manage the return-to-work process, including collecting return-to-work clearances and coordinating with managers.

  • Address and resolve FMLA-related issues, escalating complex cases as needed.

  • Stay current with FMLA and applicable federal, state/local leave laws and regulations, updating related policies and procedures as necessary.

  • Communicate FMLA policies to employees and managers.

  • Ensure compliance with posting requirements for FMLA and related leave laws.

  • Maintain an organized system for tracking FMLA leave.

  • Generate regular and ad-hoc reports on FMLA usage, trends, metrics (such as average leave duration and types of leave), and compliance status.

  • Provide data and insights to management for strategic planning and decision-making related to leave management.

Job requirements

REQUIRED SKILLS

  • Ability to navigate change and ambiguity, discerning appropriate next steps with minimal guidance

  • 2-3 years of experience in leave administration for a multi-state employee

  • Solid understanding of relevant laws such as FMLA, ADA, state-specific leave laws, workers’ compensation, and other state and federal regulations

  • Ability to handle sensitive and confidential information with discretion

  • Strong proficiency in Microsoft Excel for data analysis and reporting (PivotTables, VLOOKUPS)

  • Proficient in Workday leave management and HRIS

  • Excellent interpersonal skills and an ability connect with employees and management

  • Ability to effectively work in a fast-paced environment

REQUIRED EXPERIENCE AND QUALIFICATIONS

  • Bachelor’s in Human Resources or Business Administration with the related field of study

  • 4-5 years in U.S. benefits administration with a mid-to-large company

  • Strong problem solving and critical thinking skills

  • Excellent verbal and written communication skills

DESIRED SKILLS AND EXPERIENCE

  • CBP or CEBS certification preferred

  • Experience managing benefits in Canada and Puerto Rico

  • Experience in managing benefit plans and fostering relationships with third-party vendors

  • Ability to balance multiple priorities while focusing on employee experience and scalability
