Role overview:

We are seeking a highly organized, detail-oriented and reliable Client Operations & Deliver Coordinator to support the execution of time-critical deliveries of secure client data from initiation through completion within a Virtual Data Room (VDR) environment.

This role sits at the intersection of Operations, Client Service, and Logistics, and ensures that critical physical and digital data deliveries are executed with precision, speed, and full compliance. You will work with high-end corporate clients where accuracy, discretion, and responsiveness are essential at all times.

Key responsibilities:

  • Coordinate end-to-end execution of urgent, time-sensitive data delivery requests, ensuring strict adherence to deadlines

  • Act as a direct point of contact for clients, clarifying and validating requirements to ensure requests are executed with precision while proactively providing updates throughout the delivery lifecycle as needed

  • Collaborate closely with internal teams to prepare, extract, verify, and securely package sensitive client data

  • Perform rigorous multi-stage quality checks to ensure data integrity, correct media preparation (e.g., USB devices), and accurate shipment details

  • Prepare, verify, and manage shipping documentation, labels, and compliance requirements in line with operational standards and individual client requirements

  • Organize and oversee domestic and international courier shipments across Europe using various providers (e.g. DHL, FedEx, etc.)

  • Identify, troubleshoot, and resolve operational issues in real time, including delays, data discrepancies, and last-minute client changes

  • Support broader operational activities and contribute to special projects as required

Job requirements

What we are looking for

  • Minimum Bachelor’s Degree or its equivalent

  • Superior written and verbal communication skills in English with professionalism and clarity

  • Proven experience in Logistics, Operations, Client Services, or similarly high-pressure, deadline-driven environments

  • Proven ability to operate effectively under strict deadlines where precision and timing are critical

  • Exceptional organizational skills with the ability to manage multiple concurrent priorities without compromising execution quality

  • High level of adaptability and responsiveness in fast-changing operational environments

  • Meticulous attention to detail with a rigorous, multi-layered quality control mindset

  • Strong ownership mentality with the ability to independently drive assigned tasks from initiation through completion

 

What would set you apart

  • Professional working proficiency in additional foreign languages (Spanish would be considered a strong asset)

  • Prior experience in financial services, investment banking support functions, legal services, or other confidential/high-stakes environments is highly advantageous

  • Familiarity with secure data handling, document logistics, or transaction support workflows
